Trein-vertraging B.V. processes your Personal Data because you use our services and/or because you provide it to us yourself. Below is an overview of the Personal Data we process:

• First and last name
• Email address
• IP address
• Other personal data you actively provide, for example by creating a profile on this website, in correspondence and by telephone
• Data about your browsing behaviour across different websites (for example because this company is part of an advertising network)
• Bank account number

To make the service work, we also process any travel transactions of you or your employees. We handle these with the greatest care. This information is collected in the following way:

• Employees of the client: Personal data of the controller's employees is processed in order to manage travel transactions and delays and to submit claims.

Our website and/or service does not intend to collect data about website visitors who are younger than 16, unless they have consent from a parent or guardian. However, we cannot verify whether a visitor is older than 16. We therefore advise parents to be involved in their children's online activities, in order to prevent data about children being collected without parental consent. If you are convinced that we have collected personal data about a minor without that consent, please contact us at [email protected] and we will delete this information.

Trein-vertraging B.V. processes your personal data, or that of your employees, for the following purposes:

• Handling your claims

• To retrieve your travel history from an external carrier.

Trein-vertraging B.V. takes responsibility for decisions made on the basis of automated processing about matters that can have (significant) consequences for individuals. These are decisions taken by computer programs or systems, without a human (for example an employee of Trein-vertraging B.V.) being involved. Trein-vertraging B.V. uses the following computer programs or systems:

Google Analytics collects, monitors and analyses information, including Personal Data, to improve the functionality of our Service. A third party such as Google Analytics has its own privacy policy in which it indicates how it handles this information.

Trein-vertraging B.V. processes data exclusively in datacenters within the European Economic Area (EEA), specifically in Amsterdam, Frankfurt and Paris.

Trein-vertraging B.V. does not keep your personal data longer than strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data:

• Personal data: necessary for your profile (including bank account number) on the Service is kept for as long as you maintain your account.
• Additional Personal data: (travel history) is kept for the functioning of the claim features until 6 months after the claim has been submitted. After this, the information is anonymised.
• Log data: a different period applies here, because this log information may be kept via a third party. See the heading "Cookies, or similar techniques, that we use" for more information.

You can request to close your account by contacting us via the details above, and we will delete your Personal Data on request. Backups of the data are destroyed after 30 days. However, we may keep Personal Data for an additional period as permitted or required under applicable laws, for legal, tax or regulatory reasons, or for legitimate and lawful business purposes. Should there still be claims outstanding via Trein-vertraging B.V. after your deletion request, and these claims are not decided within the 30-day period, we will cancel your claims.

Trein-vertraging B.V. shares your personal data with various third parties if this is necessary to perform the agreement and to comply with any legal obligation. With companies that process your data on our instructions we conclude a data processing agreement, to ensure the same level of security and confidentiality of your data. Trein-vertraging B.V. remains responsible for these processing activities. In addition, Trein-vertraging B.V. provides your personal data to certain trusted third parties.

We engage these trusted third parties to perform functions and provide Services to us, including cloud hosting services, off-site backups, email service providers and customer support providers. We will only share your Personal Data with Third Parties to the extent necessary to perform these functions, in accordance with the purposes set out in this Privacy Policy and applicable laws.

Your information, including Personal Data, may be transferred to and maintained on computers outside your state, province, country or other governmental jurisdiction where data protection laws may differ from those in your jurisdiction. Please note that we transfer the information, including Personal Data, to servers in the European Union to store and process it there.

Trein-vertraging B.V. takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification. If you have the impression that your data is not properly secured or there are indications of misuse, please contact our customer service or email [email protected]. Trein-vertraging B.V. has taken the following measures to secure your personal data:

• Security software, such as a virus scanner and firewall.
• DNSSEC is an additional security measure (on top of DNS) for converting a domain name (www.trein-vertraging.nl) to the associated IP address (server name); it is provided with a digital signature. You can have this signature checked automatically. In this way we prevent you from being redirected to a fake IP address.

If you have a complaint about our processing of your Personal Data, we will be happy to work together to find a solution. If this does not lead to the desired result, you have the right to file a complaint with the competent supervisory authority. In the Netherlands this is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
